Instructions for Using the Document Scanner

The Genetics Department Document Scanner is located in the Copier Room, NRB 0330, next to the departmental mail boxes.
The computer is a Macintosh G4 running Mac OS X 10.4 and is connected to the HMS internal network.
To scan document(s) into a PDF:
1. Make sure the scanner is turned on. The power button is at the left of the scanner controls.
2. Make sure the computer is turned on. The power button should be lit and the screen should
activate when you move the mouse
3. Stack the documents you want to scan into a single PDF face up in the document feeder. The
first page should be on top. If there are too many documents to scan at one time,
you can scan in multiple batches.
Important Notes: - Check to make sure no one has left a piece of paper inside the scanner.
It will prevent your document(s) from scanning.
- Pages that have been stapled will NOT feed properly. Make a photocopy
of each stapled page and scan those.
- You can scan either single or double sided documents.
4. Create a folder on the desktop to hold the images of the pages of your document. This is the most efficient
way to create a PDF. Select New Folder from the File menu in the Finder
Name your folder something meaningful.
5. Start HP ScanPro from the dock.![]()
6. Set HP ScanPro for:
Destination: Image File
7. Click Acceptto begin scanning. a. First select a file name for the temporary image files. When the dialog box opens, navigate to the folder you created; fill in a file name and click Save.

b. The scanner will begin to automatically feed
pages from top to bottom.
Important Note: If your pages are not properly aligned in the document feeder, they won't
scan.
If HP ScanPro does not immediately begin scanning
Quit HP ScanPro,
Restack your documents, and
Restart at step 4.
8. When the scanner has finished scanning the pages in the document feeder, it will allow you
to continue scanning by reloading the document feeder and clicking Yes:
Click No if there are no more pages.
9. Open Adobe Acrobat from the Dock![]()
Click Create PDF from Multiple Files in the File Menu in Acrobat Professional
10. Add all the tiff files created when your document was scanned to the PDF
- Click Choose in the Acrobat Add Files to PDF window
- Select all the pages that were scanned in as separate images
- Then click Add
11. Save your new PDF.
12. Move your pdf(s) to a server or your own computer.
13. Move the files you scanned to the trash once you are sure they've been moved successfully.
